Iowa Employer's Contribution & Payroll Report in QuickBooks

QuickBooks Desktop includes built-in support for Iowa’s quarterly unemployment filing — the Employer’s Contribution & Payroll Report — but employers regularly encounter confusion around which fields the software fills automatically, how the tax amounts are calculated, and what needs manual verification before submission.

What the Iowa QTD Report Covers

The Iowa Quarterly Tax Detail (QTD) Report compiles the data required to electronically file the Employer’s Contribution & Payroll Report with Iowa Workforce Development. It shows wages earned by each employee, total taxable wages paid during the quarter, and the total count of employees in unemployment insurance-covered employment.

QuickBooks populates most of the form automatically using existing company, payroll, and employee records. When all payroll data has been entered correctly throughout the quarter, there is typically little additional input required. However, several fields demand attention before the form is ready to file.

Filing Deadlines

Iowa requires quarterly submissions according to the following schedule:

  • First Quarter (January–March): due April 30
  • Second Quarter (April–June): due July 31
  • Third Quarter (July–September): due October 31
  • Fourth Quarter (October–December): due January 31

Fields That Require Attention

Iowa UI Account Number

The Iowa unemployment insurance account number must be formatted as eight numeric digits. The core account number is six digits, but QuickBooks requires two leading zeros to produce the full eight-digit format that Iowa Workforce Development expects. Employers who enter only the six-digit number without the leading zeros will have an incorrectly formatted submission.

Total Wages

QuickBooks sums all wages paid across the report page and any continuation sheets. If no wages were paid during the quarter, the software enters zero automatically.

Taxable Wages

Similarly, the taxable wages figure is the sum of all taxable wages paid across the report and continuation sheets. A quarter with no wages paid results in a zero entry.

Tax Rates

Three separate rates feed into the unemployment insurance calculation, and all three pull from values entered in QuickBooks — not from any live data feed:

  • State Experience Rate — the tax rate Iowa Workforce Development assigns to the employer’s account for the current year.
  • Reserve Fund Rate — entered from the employer’s QuickBooks setup.
  • Surcharge Rate — also entered from the employer’s QuickBooks setup.

If any of these rates are missing or outdated in the company file, the calculated amounts will be wrong. Employers should verify each rate against their most recent notice from Iowa Workforce Development before filing.

How the Amounts Are Calculated

QuickBooks derives three dollar amounts by multiplying total taxable wages by each corresponding rate:

  • State Experience Owed = Taxable Wages × State Experience Rate
  • Reserve Fund Owed = Taxable Wages × Reserve Fund Rate
  • Surcharge Owed = Taxable Wages × Surcharge Rate

The Total Payment Due is the sum of those three calculated amounts.

Common Sticking Points

Employers who cannot locate specific data on the form — or who see fields that QuickBooks did not populate — can use the in-product Help button on the form window for guidance on individual fields and general form navigation. QuickBooks also offers a trace feature that shows where each number on the form originated within the company file, which helps reconcile discrepancies.

For employers who need to work with the data outside of QuickBooks, the software can summarize payroll information in a format suitable for Microsoft Excel. Saving a completed copy of the form as a PDF is also supported for recordkeeping purposes.

The Bottom Line

The Iowa QTD Report is largely automated, but the accuracy of the output depends entirely on the accuracy of the input. The UI account number formatting, the three tax rates, and the underlying wage data all flow from what has been entered in the company file. A quick review of each prefilled field against official Iowa Workforce Development correspondence is the most reliable way to catch errors before submission.
