How to Review, Edit, and File Payroll Tax Forms in QuickBooks
QuickBooks payroll subscribers can check forms for errors, override prefilled data, and print or e-file — but some fields remain locked and cannot be changed.

QuickBooks payroll subscribers preparing tax filings have access to a built-in forms editor that lets them review prefilled data, catch errors, and submit or print returns directly. While the process is generally straightforward, users frequently run into confusion over which fields they can edit and how to navigate the forms window efficiently.
Navigating the Payroll Tax Form Window
Once a payroll tax form opens in QuickBooks, users move between pages using the Previous and Next arrows at the bottom of the window. The form interface displays data that QuickBooks has already exported from the company file, along with blank fields that may need manual entry.
Running an Error Check Before Filing
Before submitting or printing any form, users can run a built-in error check by clicking Check for Errors while the form is open. An errors pane appears at the top of the window, listing any problems QuickBooks detects — these typically include missing information or data that is formatted incorrectly.
The errors pane is interactive. Clicking any line item in the list moves the cursor directly to the problematic field on the form. Once the user corrects the issue, that error disappears from the pane. Users can also print the full error list using the print icon in the pane, and close the pane when finished.
What You Can and Cannot Edit
This is where many users hit friction. QuickBooks allows some edits on payroll tax forms but firmly locks others.
Editable fields include:
- Blank fields that need manual data entry
- Fields prefilled with exported QuickBooks data — these can be changed by right-clicking the field and selecting Override
- Overrides can also be reversed by right-clicking the same field and choosing Cancel Override
- Tax preparer information, which can be typed directly onto the form or preset in the Company Information or Auto-Fill Contact Information windows so QuickBooks populates it automatically on future forms
Fields that cannot be edited:
- The filing period
- Calculated totals — QuickBooks computes these automatically based on values entered in other fields
- The Federal Employer Identification Number (EIN)
- State employer identification numbers on select forms
- Individual employee Social Security numbers on forms where employees are listed individually
- Adding or removing employees from a form that lists them individually
Users who discover an error in a locked field — an incorrect EIN, for example — generally need to correct the underlying information in their QuickBooks company file first, then regenerate the form.
Viewing Filing and Printing Instructions
Each payroll tax form includes built-in filing and printing instructions. While the form is open, users can click View filing and printing instructions to see agency-specific guidance. A Back to form link returns to the form itself.
For Forms W-2 and W-3 specifically, the navigation works slightly differently. Users click the Previous arrow at the bottom of the window to return to the form from the instructions page. W-2 and W-3 filing instructions can also be printed by selecting Print forms, choosing Employer Filing Instructions: for W-2 and W-3 forms under the Employer section, and clicking Print.
Printing or E-Filing the Finished Form
Once the form has been reviewed and cleared of errors, users click either Submit Form or Print Form to complete the process. The available option depends on the form type and the user’s payroll service level. QuickBooks displays form-specific prompts at this stage, and users should follow those on-screen instructions to finish filing or printing.
