How to Categorize Downloaded Bank Transactions in QuickBooks Online

QuickBooks Online downloads transactions from connected bank and credit card accounts and places them on a Pending tab, where it suggests categories based on how similar transactions were previously handled. Users then review each line and either accept the suggestion, change it, match it to an existing entry, or split it across multiple categories. Here is what the community is working through and what resolves the common points of friction.

Updating Transactions

From the main navigation, users should open Bank transactions under the Accounting section and select Update. This action refreshes all connected accounts at once. If a message about additional authentication appears, users should follow the on-screen prompts to let the update finish. QuickBooks will recognize common vendors from the bank data and can automatically create new vendor records. Users who prefer to manage their vendor list manually can disable this by opening Settings (the gear icon) inside Bank transactions and turning off the Add new vendors option.

Reviewing the Pending Tab

Downloaded transactions land on the Pending tab. Each line typically shows a suggested action — most commonly Post or Match. When the suggestion is Post, QuickBooks has proposed a category. If that category is correct, the user selects Add to record the transaction. If the category is wrong, the user can choose a different one from the dropdown or create a new category before posting.

When QuickBooks detects that a downloaded transaction may already exist in the register — for example, a check or payment that was entered manually — it offers a Match option. Users may also see View multiple matches, which lets them compare the downloaded transaction against several existing entries and pick the correct one.

Assigning Items to Expenses

By default, expense transactions are categorized using accounts (such as Office Supplies, Meals, or Payroll). Some users need to assign a product or service item instead — or in addition to an account — so the transaction flows correctly onto job-costing, inventory, or sales reports.

To enable this, users go to Settings, select Account and settings, open the Expenses tab, and choose the pencil icon next to Bills and expenses. Turning on Show items table on expense and purchase forms adds an item grid to the transaction window. Once enabled, users return to the Pending tab, locate the expense, and choose the appropriate product or service from the dropdown. When a transaction needs both an item and an account, the user can split the transaction so each portion is recorded correctly.

Splitting a Transaction

When a single downloaded transaction should be spread across two or more categories — say, a card charge that includes both office supplies and meals — users select the transaction on the Pending tab and choose Split. If the transaction currently shows Match as the suggested action, it should be changed to Categorize first to expose the split option.

From there, users select each category from the dropdown and enter an amount for each portion. The goal is to bring the Difference field to zero so the full amount of the bank transaction is accounted for. Additional detail — such as a memo, customer, or class — can be added to each split line. Selecting Split and add finalizes the entry.

Check Images and Matching

One wrinkle users encounter involves check images. When a downloaded check is matched to an existing bill and converted into a bill payment, the check image can disconnect from the transaction. This is expected behavior during the match-and-pay process.

Additionally, some banks do not pass check images through the feed at all. If check images are missing from connected transactions, the bank may not support image delivery. QuickBooks continues to expand its financial-institution partnerships, so support may arrive later for institutions that are not currently covered.

Common Category Types

QuickBooks suggests categories based on prior behavior, but users can assign any account. Typical categories on the expense side include office supplies, meals, payroll, taxes, and fixed-asset purchases. On the income or deposit side, users may categorize customer payments, refunds, proceeds from fixed-asset sales, loan proceeds, or owner capital contributions. Users who find that a needed account or item is missing can add it directly from the transaction window.

Users handling more complex workflows may also need to exclude duplicate transactions that downloaded twice, deposit customer payments into an Undeposited Funds account for grouping, or record retainers and advance deposits. Each of these builds on the same Pending-tab review process — locate the transaction, choose the right action, and confirm the category or matching entry before posting it into the register.
