How to Add Pay History When Setting Up QuickBooks Online Payroll

Learn the steps to enter employee pay history and company totals in QuickBooks Online Payroll so that W‑2s and tax forms reflect accurate year‑to‑date earnings.

COMMUNITY ISSUESQUICKBOOKY

QuickBooks Online Payroll users who have already paid employees during the current year must enter that pay history during setup to ensure correct tax reporting. This process records each employee’s year‑to‑date earnings, deductions, taxes and net pay, and it also captures company totals for each pay date in the quarter. The following guide walks through the required documents, the data entry steps and the final review steps based on the community‑accepted solution.

Gather Required Payroll Documents

Before opening the pay history task, collect the paperwork that shows each employee’s pay details for the year to date. You need either a pay stub or a payroll report for every employee that displays:

  • each pay item (such as regular wages, overtime, bonuses)
  • each deduction (such as retirement contributions, health insurance)
  • each tax withheld (federal, state, local)
  • the net pay amount

If you started using QuickBooks Online Payroll in the second, third or fourth quarter, the documents must be dated on or before the last day of the closed quarter. For first‑quarter starts, use documents dated between January 1 and March 31.

In addition, gather a payroll report or spreadsheet for each payday in the current quarter. This report should list the paycheck dates and provide the total amounts for each pay item, deduction and tax across all employees paid on that date. Having these totals ready makes it easier to enter company‑level data later.

Begin the Pay History Setup

Sign in to QuickBooks Online as a Primary Admin. Navigate to the Apps menu, choose Payroll, then select Overview. Next to the option labeled “Add your payroll history,” click Start.

The first screen asks you to add your employees. If you have not yet completed the “Tell us about your team” task, do so now. Include every employee who received pay this year, even those who no longer work for you. For each employee, verify that all pay items, deductions, contributions and taxes that appear on their pay stubs or reports are set up in their profile. Missing items can be added later through the team task, but it is easier to have them present before entering historical amounts.

Enter Employee Pay History

Select Enter next to the first employee on the list. Answer the questions about when you paid that employee during the year. Use the pay stub or report you gathered to fill in each column:

  • Pay item amounts
  • Deduction amounts
  • Tax amounts
  • Net pay

A helpful tip is to enter the net pay amount first; this can reveal data‑entry errors if the sum of the other columns does not match the net figure. If you discover a missing pay item, deduction or tax, exit the history task, add the item to the employee’s profile via the “Tell us about your team” task, then return to continue entering the amounts.

When you have completed all fields for the employee, select Continue. Repeat the same steps for every employee who received pay this year. After the last employee, choose Continue twice to advance to the company‑level section.

Enter Company Payroll Totals

You will now see a screen titled “Company payroll totals for this quarter.” Click Edit next to “Add your pay history,” then press Continue until you reach the display for company totals.

Select Add pay date. Enter the first paycheck date for the quarter you are working on. Using the quarterly payroll report you prepared, input the total amounts for each pay item, deduction and tax that were paid to all employees on that date.

Select Continue and repeat the process for each subsequent pay date in the quarter. After the final date, choose Continue again to move to the final review.

Review and Finish

Return to the Payroll Overview screen by navigating through Apps > Payroll > Overview. Here you can verify that the pay history entries appear correctly. If you have already created paychecks in QuickBooks Online Payroll and need to adjust the entered history, the community advice is to contact support for assistance, as direct edits may affect existing transactions.

Once you are satisfied that all employee data and company totals are accurate, select Finish or Done, depending on the version you are using. The system will now use this historical information when generating W‑2s, year‑to‑date reports and other tax forms.

Why Accurate Pay History Matters

Entering pay history correctly ensures that each employee’s W‑2 reflects the true amount earned during the year, which is essential for both employee tax filing and employer compliance. It also allows QuickBooks Online Payroll to calculate future liabilities accurately, preventing surprises during tax‑payment deadlines.

By following the steps outlined above - gathering the proper documents, entering employee‑level details, adding company totals and reviewing the results - you can complete the pay history setup with confidence and keep your payroll records in line with regulatory requirements.
