How Square Transactions Sync With QuickBooks Online — and What Trips Users Up
Connecting Square to QuickBooks Online imports sales data automatically, but mismatched items and payout timing can block transactions from posting to your books.

QuickBooks Online’s Square Connector is designed to pull sales data from a Square account directly into the books — but once transactions start flowing, users routinely run into two operational snags: items that do not line up between the two platforms, and a batch-confirmation blocker that prevents transactions from being added together.
Setting Up the Square Connector
The integration lives inside QuickBooks Online’s app marketplace. After signing in, users navigate to the integrations directory, search for the Square Connector by QuickBooks, and authorize the connection using their Square account credentials. During setup, the app asks for two key pieces of information: the bank account where Square deposits payouts, and the Square locations the business wants to track. Users also choose a start date for the initial import — the connector can pull up to two years of historical transactions.
Once the sync completes, imported transactions appear in the Integration Transactions center within a few minutes.
The Item-Matching Problem
The most common point of confusion centers on how the connector handles products and services. When a Square sale includes an item that also exists in QuickBooks — matched by name — the connector maps the sale to that existing product or service automatically. When there is no match, QuickBooks falls back to a default item called Square Sales and populates the description line with whatever name Square has on its end.
This fallback behavior means that without manual intervention, a significant portion of sales can land under a generic catch-all item rather than being distributed across the correct product or service categories. For businesses that rely on item-level reporting in QuickBooks, that creates a reconciliation headache after the fact.
Matching Items Manually
The connector provides a matching tool to address this. Within the Square tile under the For review tab, individual transactions display a Select match button next to unrecognized items. Clicking it opens a side panel showing the Square product details alongside potential matches already in the QuickBooks item list. Users pick the best match, confirm it, and the connector remembers that pairing going forward — so the same item will not need to be matched again on future sales.
The Batch-Confirmation Blocker
The second issue users encounter is more mechanical but equally disruptive. When reviewing imported transactions, the natural workflow is to select multiple transactions and confirm them in a batch. However, the Confirm button can become unavailable for two reasons:
Mixed transaction types. The connector imports both Payment received transactions (individual sales) and Payout transactions (the lump-sum deposits that hit the bank account). Selecting both types together disables batch confirmation. The fix is sequential: confirm all Payment received transactions first, then confirm the Payout transactions as a separate batch.
Pending actions on individual transactions. If one or more selected transactions carry a “Review” flag in the Actions column, the entire batch is blocked. In that case, each flagged transaction must be opened and confirmed individually before the rest can be processed as a group.
Confirmed transactions move from the For review tab to the Reviewed tab. Users also have the option to exclude transactions rather than confirm them — useful for duplicates or entries that should not be posted.
Post-Connection Settings
After the initial sync, additional settings become available in App Settings. The connector offers an auto-add feature that uses pattern recognition to learn how a user categorizes transactions and then begins posting them automatically. While the defaults are tuned for what Intuit considers the most accurate accounting treatment, every setting — deposit account, location tracking, auto-add — can be adjusted at any time.
For businesses managing high transaction volumes across multiple Square locations, the connector reduces manual entry substantially, but only once item mappings are established and the confirmation workflow becomes routine. Until then, expect to spend time in the For review queue matching products and separating payment transactions from payouts.
