QuickBooks Desktop is designed to prefill the bulk of Form 941 — the Employer’s Quarterly Federal Tax Return — by pulling figures directly from a company’s payroll data. But users who assume every field on the three-page form will populate automatically routinely run into gaps on page 3, where preparer information and certain designee details must be entered by hand.
What QuickBooks Fills Versus What It Does Not
When a company’s payroll, employee, and employer data is fully entered into QuickBooks, the software can calculate and populate most line items across the 941 without additional input. The program reports federal income tax withheld from wages as well as Social Security and Medicare taxes based on the payroll records already on file.
