QuickBooks cannot generate this number; it must match what the state issued when the employer registered for withholding tax. If the field is blank or incorrect, click directly on it and enter the proper number.
Number of W-2s — QuickBooks tracks and calculates W-2 data based on employees set up in the company file. If the count shown does not match the actual number of W-2 forms produced — for example, if an employee was added or removed late in the year, or if a correction changed the total — click the field and enter the correct figure manually.
Verifying the Withholding Amounts
To confirm that the totals on the form are accurate, compare the prefilled withholding amount against year-end payroll summaries. From the Reports menu, navigate to Employees & Payroll > Payroll Summary, set the date range to the full calendar year, and review the West Virginia state income tax withholding column. The total there should match the figure on Form WV/IT-103. If the numbers differ, the discrepancy typically traces back to a paycheck with an incorrect state withholding amount or an employee whose work location or state tax setup was misconfigured.

Filing and Payment Rules
Form WV/IT-103 must be filed with the West Virginia State Tax Department, Tax Account Administration Division, P.O. Box 3943, Charleston, WV 25339-3943, on or before January 31 of the succeeding year. The filing deadline also applies if the employer’s obligation to withhold taxes terminates during the year.
Do not send a payment with Form WV/IT-103 itself. If the reconciliation shows an underpayment — meaning more tax was owed than was remitted during the year — the balance must be paid separately through the state’s online portal or by printing the IT-101V payment voucher. If the reconciliation shows an overpayment, the employer must file an amended return (Form IT-101Q) to request a refund from the state.
Saving a Copy for Your Records
After reviewing and finalizing the form, save a copy by using the Save as PDF option available in the form window. This preserves a digital record of what was filed and the figures QuickBooks used to generate it. Keeping the PDF on file is standard practice for year-end reconciliation documentation.
When Prefilled Data Looks Wrong
If the withholding totals or other figures on the form appear incorrect and do not match internal payroll reports, the underlying issue usually traces to one of three sources: an employee record with the wrong state code for tax withholding, a paycheck where state tax was manually overridden, or a payroll item mapped to the wrong liability account. Running the Payroll Summary report for the full year and filtering by state income tax withholding is the fastest way to isolate where the numbers diverge from what the form reports.
