Filing West Virginia Form WV/IT-101Q in QuickBooks Payroll

QuickBooks prefills most fields on West Virginia's quarterly withholding return, but employers must verify electronic filing thresholds and review unmatched lines carefully.

QuickBooks Desktop payroll users responsible for West Virginia quarterly income tax withholding returns have access to a built-in form template for WV/IT-101Q, the Employer’s Quarterly Return of Income Tax Withheld. The form is designed to prefill wage, withholding, and liability data directly from the company file, though several fields may still require manual entry depending on setup completeness.

What the Form Covers

Form WV/IT-101Q is the quarterly return employers use to report state income tax withheld from employee wages to the State of West Virginia. QuickBooks populates most of the fields automatically using the payroll data already recorded in the company file. When company, payroll, and employee records are fully up to date, users typically do not need to enter additional information beyond what QuickBooks generates.

The return covers a standard set of lines, including the number of employees who received wages during the quarter, total wages and tips, total state income tax withheld, a monthly liability breakout, total payments made, any balance due, and any overpayment.

Electronic Filing Requirements

Employers with 50 or more employees, as well as third-party administrators handling 50 or more client employees, are required to file Form IT-101Q electronically. Additionally, any employer that paid more than $25,000 in withholding during the immediately preceding tax year must also file electronically. Employers who fail to meet these requirements face a penalty of $25 per employee.

Filing Deadline

The return is due on or before the last day of the month following the close of the calendar quarter. When the due date falls on a Saturday, Sunday, or legal holiday, the deadline moves to the next banking day. Even in quarters where no withholding was collected, the return must still be filed by law.

Fields QuickBooks Does Not Prefill

The West Virginia Employer Identification Number — an eight-digit identifier in the format nnnn-nnnn assigned by the state — is one field users may need to verify or enter manually if it has not been set up in the company file. QuickBooks provides in-form help links for any field it did not automatically populate, and users can click the Help button on the form window for general guidance on navigating the form or troubleshooting specific issues.

Verifying the Numbers

For users who want to confirm where the figures on the form originated, QuickBooks offers hyperlinks within the form that trace amounts back to the underlying payroll data. The withholding amounts, liability breakouts, and payment totals can each be reviewed this way.

Users who need to summarize their payroll data in a spreadsheet can export the relevant figures to Microsoft Excel through a linked option within the form interface. A separate option allows users to save a copy of the completed payroll form as a PDF for their records.

Reviewing Before Submission

The key step is a careful line-by-line review. Line 1 reflects the count of employees who received wages, tips, or other compensation during the quarter. Line 2 captures total wages and tips. Line 3 shows total state income tax withheld. Lines 4 through 6 break out the liability by month, and Line 7 totals the quarterly liability. Line 8 reflects total payments made for the quarter. The balance due or overpayment is calculated by comparing total liability against total payments.

Because QuickBooks relies on the accuracy of the underlying payroll data, any discrepancies in employee setup, wage records, or withholding settings will carry through to the form. Users encountering unexpected figures should trace the amounts back through the linked payroll data before filing.
