QuickBooks Desktop includes built-in support for West Virginia Form WV/IT-101, the Employer’s Return of Income Tax Withheld, but users who are unfamiliar with the state’s filing-frequency rules sometimes struggle to confirm they are submitting the return on the correct schedule. The form itself is straightforward — QuickBooks populates most of it automatically — yet the due date and filing frequency fields require manual attention.
What the Form Covers
Form WV/IT-101 is used to report and remit West Virginia state income tax withheld from employee paychecks during a given reporting period. The West Virginia State Tax Department assigns each employer a filing status — monthly, quarterly, or annual — based on the employer’s average monthly withholding amount.
Employers must file the return by the appropriate deadline and include the total tax withheld for the period. Even in periods where no tax was withheld, the return must still be filed to remain in compliance with state law.
What QuickBooks Fills In
When a user opens the WV/IT-101 form window in QuickBooks, the software attempts to prefill most fields using existing company, payroll, and employee data already entered in the company file. West Virginia Employer Identification Number
This is not the same as the federal Employer Identification Number. The West Virginia number takes one of two formats: the federal EIN followed by a three-digit suffix assigned by the state, or a standalone number in the format of four digits, a dash, and four more digits. If QuickBooks has not populated this field, the employer must locate the number from prior state correspondence or registration materials.
Filing Frequency
QuickBooks does not determine the employer’s filing status — the West Virginia Department of Revenue does. The user must check the correct box on the form to indicate whether they are a monthly, quarterly, or annual filer. This selection matters because it drives the calculation of both the filing period and the due date.
Due Date
The deadline depends on the assigned filing frequency:
- Monthly filers: the return is due 20 days after the end of the reporting month.
- Quarterly filers: the return is due on the last day of the month following the end of the quarter.
- Annual filers: the return is due January 31 of the following year.

Common Sticking Points
The most frequent confusion reported by users centers on the filing-frequency selection. Because QuickBooks relies on the user to check the correct box, an employer who has been reclassified by the state — say, moved from quarterly to monthly filing due to increased withholding — may inadvertently continue filing under the old schedule if they do not update this field. The result can be a late or misapplied return even though the withholding amounts themselves are correct.
Users who are uncertain about their current filing status should verify it directly with the state before submitting. The form’s accuracy ultimately depends on the employer confirming that the frequency, identification number, and due date all match what the state has on file.
