Filing State W-2s With QuickBooks Desktop Payroll Enhanced

QuickBooks Desktop Payroll Enhanced does not automatically transmit state W-2 forms to participating state agencies the way some other QuickBooks payroll subscriptions do. Users on this specific plan must instead generate and submit their state W-2 files manually, a process that involves a guided interview, an exported spreadsheet, and a final electronic filing step.

The confusion often stems from how different QuickBooks payroll services handle state submissions. With other QuickBooks payroll products, state W-2s are typically sent to the state agency automatically at the same time the federal W-2s are filed. Payroll Enhanced works differently. Depending on the state, businesses must either create their W-2s and upload Copy 1 directly to their state agency’s portal, or they must electronically file the forms through the QuickBooks software itself.

Generating the State W-2 File

To begin the state filing process, users navigate to the Employees menu, select Payroll Tax Forms & W-2s, and then choose to create a State W-2 E-file. After clicking continue to advance through the initial prompts, the user selects their specific state from a dropdown menu and chooses to pull the data directly from their company file.

Once the preliminary data is gathered, the process moves to an Add-Ins tab. Here, users locate the QuickBooks Payroll State W-2 dropdown and start an interview wizard. The wizard requires the user to acknowledge that they must review the data and answer a series of questions. As the user proceeds through the interview, they must note the file name and its saved location. The wizard will auto-populate information based on existing payroll data, but the user is expected to review these details carefully, answering questions and advancing through the screens until reaching the end of the interview.

Upon completing the interview, the user selects the option to create the W-2 file. The software will then prompt the user to save an Excel workbook. Saving this workbook is recommended for internal record-keeping before moving to the final submission phase.

Filing the Worksheet Electronically

With the file generated and saved, the user returns to QuickBooks to process the actual payroll forms. Under the Employees menu, selecting Payroll Tax Forms & W-2s and then Process Payroll Forms brings up the available filings in the File Forms section. The user selects their specific state worksheet from this list.

Before moving forward, it is crucial to verify the filing period. The user must review the selected year and make any necessary adjustments to ensure the correct tax year is being filed. After confirming the period and selecting OK, the user fills out the W-2 worksheet. QuickBooks provides a utility to check the worksheet for errors. Running this check helps ensure the data is accurate and complete prior to transmission.

When the worksheet is clear of errors, the user can select the option to e-file the forms. The system requires a valid email address and a contact phone number before the submission can be finalized. Once that contact information is entered, the user submits the form to complete the electronic filing process.

State Participation Varies

The ability to file directly through QuickBooks depends on state participation. A large number of states are supported for direct electronic filing through the software, including Alabama, Arizona, Arkansas, Colorado, Iowa, Kansas, Kentucky, Minnesota, Mississippi, Missouri, Pennsylvania, Rhode Island, and South Carolina, among others. Users in supported states can follow the internal e-file workflow. Those in states not listed or not supported by the integrated tool will need to rely on the alternative method of generating the W-2s and manually uploading the necessary copies to their state agency’s designated portal.

Because Payroll Enhanced places the responsibility of state filing on the user, verifying that the data has been successfully transmitted and accepted by the state is a necessary final step in closing out the payroll year.
