Filing North Carolina Form NC-5 Withholding Returns in QuickBooks

QuickBooks Desktop includes built-in support for North Carolina Form NC-5, the state withholding return employers use to report and pay taxes withheld from employee wages. The form is available directly through the payroll module, and QuickBooks will prefill most fields automatically based on existing company, payroll, and employee data. However, several manual entries and prerequisites remain, and users who run into blank fields or calculation failures are typically missing one critical piece of setup.

Filing Frequency and Thresholds

North Carolina requires employers to file and pay withheld taxes on different schedules depending on average monthly withholding amounts. Employers who withhold an average of at least $250 but less than $2,000 per month must file monthly. Those withholding an average of less than $250 per month file quarterly.

QuickBooks determines the filing frequency — monthly or quarterly — based on the beginning and ending period dates entered for the return. Monthly returns and payments are due by the 15th day of the month following the withholding period, with one exception: the December return is due by January 31. Quarterly returns are due by the last day of the month following the close of the calendar quarter.

The State Account Number Requirement

The most common stumbling block is the North Carolina state account number. QuickBooks cannot calculate Form NC-5 without one. Employers who do not yet have an account number must obtain one through the North Carolina Department of Revenue before the form will function properly. Taxpayers without a state account number should file Form NC-5A or NC-5PA instead.

If the form appears unresponsive or fails to populate calculated totals, the missing account number is the likely cause. Entering it resolves the calculation issue.

Reviewing Prefilled and Manual Fields

QuickBooks fills in most fields automatically when company, payroll, and employee records are complete and up to date. In most cases, no additional manual entry is needed beyond reviewing the form for accuracy. Users should scan for any fields QuickBooks did not populate and enter the necessary information where applicable.

The form includes hyperlinks that trace specific numbers back to their source in QuickBooks, which helps users verify that the prefilled amounts match their payroll records. For broader verification, users can summarize payroll data by exporting it to a spreadsheet for independent review.

Penalty and Interest Lines

Two fields require manual entry when applicable:

Line 2 — Penalty. North Carolina imposes a 10% penalty on the required withholding amount for failure to withhold or pay on time. A separate penalty of 5% of the tax due applies for each month a withholding return is filed late, up to a maximum of 25%. Users must calculate and enter any applicable penalty amount.

Line 3 — Interest. If payment is late, interest accrues at a rate set by the Secretary of Revenue. The current rate is published on the Department of Revenue website. Users enter the calculated interest amount on this line.

Saving a Copy for Your Records

QuickBooks provides an option to save completed payroll forms as PDF files. Users filing NC-5 should save a copy before closing the form window, both for recordkeeping and for reference if questions arise later about how amounts were calculated.
