QuickBooks Desktop includes built-in support for Massachusetts Form M-941 WQ, the Quarterly Return of Income Taxes Withheld for employers paying on a quarterly schedule. The form is used to report state income tax withholding to the Massachusetts Department of Revenue, and QuickBooks automates most of the data entry by pulling figures directly from payroll records. Even so, several fields demand manual attention, and employers who assume the form is complete straight out of the software can run into filing errors or missed adjustments.

What the Form Covers

Form M-941 WQ is mandatory for Massachusetts employers who remit state income tax withholding on a quarterly basis. The return must be filed even in quarters where no taxes are owed. Massachusetts also requires electronic filing and payment when the combined annual liability for wage withholding, room occupancy excise, and sales or use taxes reached $5,000 or more in the prior calendar year. Employers below that threshold may still file voluntarily through the state’s electronic system.

Page 2 and Adjustments

The form includes a checkbox to open Page 2, and QuickBooks will automatically check that box when an adjustment amount appears on line 2. Any adjustment must be explained on Page 2, or the state may disallow it. Employers who spot an adjustment on their return should make sure the explanation is complete and accurate before filing.

Penalties and Interest

Lines for penalties and interest are not calculated by QuickBooks. If either applies, the employer must enter the amounts manually and refer to the Massachusetts Department of Revenue instructions for the correct rates. Leaving these fields blank when amounts are actually due can result in further penalties down the line.

E-Filing and Electronic Payment

For employers who meet the mandatory e-file threshold, QuickBooks supports electronic filing and payment of the M-941 WQ.
