QuickBooks Desktop’s built-in payroll forms handle Indiana’s quarterly unemployment insurance contribution report — Form UC-1 — but employers filing it for the first time routinely run into questions about how the amounts are calculated, where the data originates, and how to submit the return to the Indiana Department of Workforce Development.

What Form UC-1 Covers

The UC-1 is the quarterly contribution report that Indiana employers file with the Department of Workforce Development. It summarizes wage and payroll information for every employee who worked during the quarter. QuickBooks populates most of the form automatically from the payroll data already entered in the company file, so in a well-maintained setup there is typically little or no manual entry required on the form itself.

Electronic Filing Requirements

Indiana requires employers to file this report electronically. The submission method depends on workforce size:

  • Employers with 50 or fewer employees can e-file directly from QuickBooks or manually enter each employee’s data on the state’s Employer Self-Service (ESS) website.
  • Employers with more than 50 employees must upload a file through the ESS portal. The state system will not allow manual entry once an employer crosses the 50-employee threshold, so file upload is the only option at that scale.

QuickBooks generates the file needed for the upload, and the ESS website prompts the employer to submit payment during the filing process.

Verifying Your Employer Account Number

One of the most common trouble spots is the Employer Account Number field. QuickBooks pulls this number from the company payroll setup, and a valid account number is mandatory — Indiana no longer accepts “Applied For” or similar interim language on the form.

The account number matters beyond the visible field: it feeds the scanline at the bottom of the printed return, which the state uses to optically process the filing. An incorrect number there can cause processing delays or rejections.

Employers who need to verify their current number can request it from the state by email, providing their federal Employer Identification Number (FEIN) and registered business name. If the number in QuickBooks is wrong or outdated, the fix is not made on the form itself. Close the form window, then navigate to the Employees menu, select Payroll Services, choose Set Up Payroll, and update the account number in the company information section.

Where the Unemployment Amounts Come From

QuickBooks calculates the unemployment insurance figures on the UC-1 based on the wages, tax rates, and employee data already recorded in the company file. The form draws on quarterly payroll totals rather than requiring manual calculation. Employers who see unexpected amounts should verify that all payroll checks for the quarter have been recorded and that the state unemployment tax rate in the company setup matches the rate Indiana assigned for the year.

Summarizing Payroll Data in Excel

For employers who want to cross-check the figures before filing or maintain their own records outside of QuickBooks, the software can summarize payroll data in a Microsoft Excel spreadsheet. This export provides a breakdown of wages and liabilities by employee and can serve as a verification tool against the numbers appearing on the UC-1.

Saving a Copy of the Form

After reviewing the form, employers can save a PDF copy for their records. This is recommended before transmitting the return electronically, as it preserves a snapshot of exactly what was reported. If a discrepancy surfaces later — whether it traces back to a data-entry issue or something more involved like a damaged company file affecting payroll totals — having the saved PDF simplifies reconciliation.

Reviewing Before You File

QuickBooks fills in most UC-1 fields automatically, but the software still expects the employer to review anything it did not populate. Before submitting, confirm that the account number, wage totals, and employee counts are accurate and that the quarterly data in the company file is complete. The form window includes a Help button for general navigation questions and form-specific troubleshooting guidance.
