Filing Form CT-WH for Connecticut Withholding in QuickBooks

QuickBooks prefills most of Form CT-WH for Connecticut withholding tax, but the registration number format and remittance schedule trip up payroll users.

QuickBooks Desktop handles the heavy lifting for Connecticut withholding tax payments, but users running Form CT-WH regularly hit the same snags: understanding which remittance schedule applies, getting the state tax registration number formatted correctly, and knowing which fields still need manual entry after the form is generated.

What Form CT-WH Covers

Connecticut employers use Form CT-WH to remit state income tax withheld from employee wages. QuickBooks prefills most of the form automatically from existing payroll data — company information, employee wages, and withheld amounts flow in without manual entry in most cases. The fields QuickBooks does not fill in are the ones that typically cause confusion, particularly the tax registration number.

Remittance Frequency and Due Dates

Connecticut classifies employers as quarterly, monthly, or weekly remitters based on withholding liability during a twelve-month look-back period. The state Department of Revenue Services notifies employers of their classification each year, and that classification drives the payment schedule.

Quarterly remitters reported $2,000 or less in withholding liability during the look-back period. These employers file Form CT-941 and remit quarterly.

Monthly remitters reported more than $2,000 but not more than $10,000. Payments are due by the 15th day of the following month.

Weekly remitters exceeded $10,000 in withholding liability during the look-back period. The due-date logic here gets specific: if payday falls on a Wednesday, Thursday, or Friday, payment is due on or before the following Wednesday. If payday falls on a Saturday, Sunday, Monday, or Tuesday, payment is due on or before the second Wednesday following payday.

The state may eventually require weekly remitters to deposit by electronic funds transfer and file electronically rather than on paper — but not before sending written notification.

Fixing the Connecticut Tax Registration Number

The field that most often needs manual correction is the Connecticut tax registration number. QuickBooks expects a specific format: seven or eight digits, a hyphen, then three more digits — either XXXXXXX-XXX or XXXXXXXX-XXX. If the number stored in the company file is missing the hyphen or uses a different grouping, the form may reject it or display it incorrectly.

To correct the registration number in QuickBooks Desktop, go to Employees, then Payroll Setup, and work through the state tax identification section. Update the Connecticut withholding account number using the hyphenated format the state requires. Once saved, QuickBooks will pull the corrected number onto Form CT-WH on subsequent filings.

If the number still does not populate correctly after updating it in Payroll Setup, check whether it was also entered in the company-level state tax setup rather than just the employee-level withholding records. Both areas feed the form, and a mismatch between them can produce blank or malformed fields.

Reviewing What QuickBooks Prefilled

After generating Form CT-WH, review every field before filing — even the ones QuickBooks filled automatically. The form pulls from payroll data already in the company file, so if a pay run was missed, voided, or recorded with the wrong state withholding, those errors carry onto the form.

For users who want to verify the numbers or work with the data outside QuickBooks, the form window includes an option to summarize payroll data in Microsoft Excel. This export lets you cross-check withheld amounts against payroll registers before submitting the payment.

QuickBooks also includes an option to save a copy of the completed form for your records. Use it — keeping a saved copy of each filed form simplifies reconciliation if the state later questions a payment amount or timing.

When No Form Is Needed

Connecticut does not require filing Form CT-WH when no payment is due. If no Connecticut income tax was withheld during the period, skip the form entirely rather than filing a zero return.

Getting Help With Form Fields

For fields QuickBooks did not auto-fill, the form window includes a help reference that explains what each field expects and where QuickBooks draws the data from. If a number on the form looks wrong, that help reference can point you back to the underlying payroll transactions — which is usually faster than hunting through individual paychecks manually.
