Filing corrected 941 and 940 returns in QuickBooks Desktop Payroll

QuickBooks Desktop Payroll users can amend a filed 941 with Form 941-X and a filed 940 with the original year's form; here is how each path works.

COMMUNITY ISSUESQUICKBOOKY

QuickBooks Desktop Payroll users who spot bad numbers on an already filed federal return do have a way through. The correction path exists, but it splits. The quarterly 941 gets a dedicated amendment form, while the annual 940 does not. We walked the accepted community answer on this issue, and the asymmetry between the two forms is the whole story.

One form has an X, the other does not

The quarterly return corrects through Form 941-X, the Adjusted Employer’s Quarterly Federal Tax Return or Claim for Refund. The annual unemployment return has no equivalent. There is no 940-X. Instead, you reuse the federal Form 940 from the year you originally filed and mark it as an amended return. That asymmetry is where most of the confusion sits. Some users hunt the forms list for a version of the unemployment return that simply does not exist.

Where do you start?

Both corrections begin in the payroll forms workflow. Open the Employees menu, choose Payroll Tax Forms & W-2s, then select Process Payroll Forms. The File Forms list that appears holds everything you need. Payroll Enhanced subscribers can prepare and file these amendments themselves from that list.

How does the 941-X interview run?

In the File Forms list, choose Quarterly Form 941-X and create the form. Pick the filing period, confirm the return you are correcting, select the quarter, and enter the calendar year. The interview also asks when you discovered the errors, and it wants that date in the format it specifies.

Then comes the consequential choice: one correction process per form. Underreported amounts only is one option. Overreported amounts only is another, handled through either the adjustment process or the claim process. A combined form carrying both kinds of error is a third. Part 1 must reflect the same choice you made in the interview, so verify that before moving on.

Part 2 asks you to complete the certifications by checking at least one box, or all that apply. Part 3 is where the corrections for the quarter go; leave any line that does not apply blank rather than zeroing it. The lines users most often touch cover total wages, tips, and other compensation, plus income tax withheld. Taxable Social Security wages, taxable Social Security tips, and taxable Medicare wages and tips round out the usual set. Line-level guidance lives in the IRS instructions for the X form.

Part 4 wants a plain-language account of every correction you entered in Part 3. Paragraph form is fine, and any IRS notices tied to the errors can go in the envelope. When the form is complete, print it and mail it. This amendment does not go out through the software’s electronic filing route.

What changes for the 940?

Return to the File Forms list and choose the Annual Form 940 with Schedule A, the Employer’s Annual Federal Unemployment Tax Return. Enter the year of the filing period you want to correct and confirm the prompt. Check the Amended Return box, then review page 2 to confirm the amounts now match what the original form should have carried. Attach a detailed explanation of why the return is changing. The software produces the corrected form; the reasoning behind it has to come from you.

Does Assisted payroll change anything?

It does. QuickBooks Desktop Payroll Assisted pays and files taxes on the subscriber’s behalf, so a correction to a return filed through that service runs through the service as well. The self-service forms list is the Enhanced path. Knowing which subscription you hold tells you which door to use.

The details that decide whether the amendment sticks

The workflow rewards care over speed. Enter the discovery date in the exact format the interview requests, since the form records when you found the mistake for a reason. Keep Part 1 aligned with the interview choice, or the form can behave unpredictably. Leave non-applicable lines blank. Write the Part 4 explanation so a reader with no context can follow it, and attach any related notices. File the correction soon after an error surfaces. The amendment is routine once the right form is in hand; the delay is what turns a small wage error into a bigger paperwork problem.
