Receipts & Bills

Emailed receipts and bills stall before they reach QuickBooks

Users forwarding receipts and bills into QuickBooks Online hit a few predictable blocks: the custom address, permissions, and one address per user.

Receipts arrive by email long before anyone sits down to code them. QuickBooks Online can accept them that way, but only once a forwarding address exists in the file. Readers working in the French-Canadian interface keep meeting the same few snags: no address has been created, a standard user lacks the right permission, or the address being saved is rejected outright. The guidance settles most of it. The rest comes down to order of operations.

The forward that goes nowhere

Nothing bounces, and nothing lands. When a forwarded receipt image fails to appear in the file, the fault is rarely the photo or the mail client. It is the address. QuickBooks Online does not issue every company a ready-made inbox. Someone with access has to create a personal forwarding address first. Only after that will forwarded images be picked up and turned into transactions waiting for review.

Until the address exists, sending mail to a guessed variation of a QuickBooks domain achieves nothing. No queue catches it, and no reply explains why. That silence sends people hunting for a delivery problem that does not exist.

Start in the business view

QuickBooks Online offers two kinds of user view, and these setup options only appear in the business view. Accountants and bookkeepers who spend the day in the other view will not see the same controls, which is one reason the steps can seem not to match the screen. Switch views before hunting for a menu that is not there.

Creating the forwarding address

Open All apps, choose Accounting, then select Receipts. The option to forward from email lives there. You type only the front part of the address; the domain is added for you and ends in assist.intuit.com. Choose Next, confirm that the address is the one you intended, accept the confirmation, then finish.

It can be changed later. In the same area, open your forwarding email section, choose Update, type the replacement, and confirm the change. An address already given out to suppliers stops working the moment it is replaced, so tell the people who use it before you switch.

One address per person, and who may send

Three rules decide whether a colleague can forward anything at all.

Only one email address can be saved per user for the company. Editing it edits it everywhere, not only for receipts.

A standard user needs at least one standard vendor permission before receipts and bills will be accepted from their address.

An administrator controls the list. The Receipts area holds a control for managing the forwarding email, with a toggle for each person. Turn it on for those who will actually be sending images.

One further snag catches Gmail users. An address containing a plus sign may refuse to save, so pick a plain address for the forwarding setup.

The review pass after forwarding

Forwarded receipts and bills do not post themselves. Each one arrives as a transaction to review. Open the Receipts screen and you can correct the details, assign the item to an account, or match it to a transaction already recorded. The image stays attached to the file, which matters at tax time, when the paperwork behind a figure has to be produced on request.

Reviewing is the part that turns storage into bookkeeping. A forwarded bill nobody categorizes is a picture in a folder, not an expense.

Limits worth knowing before the first forward

Nothing is classified automatically, so a stack of unread images is not a set of recorded costs. The address sits with one user account, and only one can be saved per person, so a new colleague needs their own created once their vendor permission is in place. An unconfirmed address will not work either, which is why the confirmation step matters more than it looks.

The order that works

The sequence is short: business view, an address created and confirmed, permission granted, images forwarded, then a review pass. Most of the frustration comes from doing those steps out of order, or from expecting the software to sort something it has only just received. Set the address up while you are at a desk, confirm it, and the forwarding itself takes seconds from a phone later.
