Downloaded Transactions Wait for Review in QuickBooks Online, Not in Your Books

QuickBooks Online parks downloaded bank transactions in a review tab with AI-suggested categories, and users must confirm each one before it posts.

A familiar pattern runs through QuickBooks Online threads: someone connects a bank feed, the download finishes, and then the hunt begins through the register. The entries are not there. Every downloaded line waits in a review list first, and until a person clears that list, the books stay untouched.

Where do downloaded transactions go?

Connected accounts refresh on their own roughly once a day. For fresher data, open All apps, choose Accounting, and select Bank transactions. The Update action there pulls new activity for every connected account in one pass. Your bank may interrupt with an extra authentication prompt; follow it and the refresh continues.

Not everything at the bank makes the trip. Money still marked as pending on the bank’s side is never downloaded, so a purchase from this morning can be absent tonight without anything being wrong. Only cleared items reach the software.

Cleared items land on the For review tab of that same screen, each with a suggested category beside it. Nothing has posted to your books at this stage. Selecting Confirm on a line is the step that finally moves it in.

How does QuickBooks pick a category?

The software learns from your own history. It suggests categories based on how you classified similar transactions before, and the current version goes further, using artificial intelligence to assign categories on its own. It also explains in plain terms why it picked a category, which makes outliers easier to spot. The same review flow works in the QuickBooks mobile app, with an interface refreshed for the phone.

Your job on each line is a quick audit. When the suggested category is right, select Confirm. When it is wrong, change it from the dropdown or create a new category on the spot. If a matching entry already exists in your books, an invoice payment for instance, match the downloaded line to it rather than adding a duplicate. Several candidates can line up, and the software will show you the additional matches.

The explanation matters more than the suggestion itself. A wrong pattern left uncorrected teaches the software to repeat it.

Why are vendors appearing on their own?

One behavior catches users off guard. The software recognizes common vendors from your bank data and creates vendor records for them automatically. People open the vendor list and find names nobody typed. Nothing is broken; the feature is working as designed.

Keeping that list under your own control takes one setting. Inside Bank transactions, open the Settings gear and clear the checkbox that adds new vendors. New payees then wait for you to decide whether they deserve a record at all.

Can the suggestions be switched off?

Yes, and there are two separate levers. Bank rules let recurring items categorize themselves, a monthly utility charge for example, once you define the pattern they follow. Rules suit anything that repeats the same way every month.

The second lever takes the artificial intelligence out of the loop entirely. Suggestions can be turned off, which returns every line to fully manual classification. Users who take a strict line on coding tend to prefer this, since nothing then enters the books on a guess.

Money in is not always income

The last trap is conceptual rather than mechanical. Direction decides the side of the ledger: money paid to you counts as money in, and money paid out counts against expenses. Money in covers sales, customer payments, refunds, proceeds from selling a fixed asset, borrowed funds, and money invested in the business.

Borrowed funds and invested money are the lines that trip people up. Both arrive as deposits, so both look like income on a busy screen. Neither is. A loan belongs in a loan category, an owner contribution belongs in equity, and coding either one as sales will inflate the period’s profit.

In most of the threads we looked at, the resolution is the same: work the review list, not the register. Downloads land on schedule, suggestions arrive with reasons attached, and a few seconds of checking per line keeps the books clean. Every piece of the automation is adjustable, from vendor creation to the suggestions themselves.
