Connecting QuickBooks Time to Xero: Where First Imports Go Wrong
Mismatched customers, missing inventory items and stranded archives are the usual failures when QuickBooks Time connects to Xero; here is the fix.
Users linking QuickBooks Time with Xero are running into a pattern that has little to do with the installation itself. The add-on connects in a few clicks. The trouble arrives at the first data import: customer names that refuse to pair up, employee records that split in two, inventory items that never reach a timesheet, and an archive setting that quietly files records away.
Service businesses run time tracking in QuickBooks Time and invoicing in Xero, and the integration is meant to keep the two lists in step. Used carefully, it does. Used carelessly, it multiplies cleanup work that lands on whoever administers the account. The accepted fix is unglamorous: check your lists before the import, choose the import options with care, and know which mistakes can be reversed and which cannot.
The symptoms follow a familiar pattern
Most reports describe the same sequence. The integration authorizes without complaint. The first import then produces duplicates, because customers typed into QuickBooks Time by hand do not merge with their Xero counterparts unless the names match exactly.
Employee records behave the same way, and the matching rule is stricter than many expect: first name, last name and email all have to line up, character for character. A single mistyped digit in an email address is enough to leave one person as two records.
A second complaint concerns inventory. Items expected on timesheets fail to appear, and the shortfall usually traces back to how those items are set up in Xero rather than to the import itself.
Where does Xero data land in QuickBooks Time?
Three categories cross the bridge. Xero contacts become customers in QuickBooks Time, which is what lets employees assign hours to real client work. Where a contact carries an address, the address comes along and feeds the Nearby Jobs feature for field crews. Inventory items arrive as selectable entries on timesheets, and those selections then flow onto invoices and into reports inside QuickBooks Time.
The setup, in the order that works
On the vendor’s own description, the invoicing link works in every country where Xero operates, so availability is rarely the blocker. The sequence is short. Open Feature Add-ons in QuickBooks Time and choose Manage Add-ons. Scroll to Xero, select Install, and pick your country in the preferences window. Select Connect to Xero, then authorize the connection on the Xero side: choose your organization and allow access. Step through the prompts until the Import Options window opens, and stop there. That window is where the decisions live.
Four import choices that cause most of the grief
Import customers from Xero pulls your client list across for time tracking. If you have entered customers manually, compare the two lists first, because mismatches are the usual source of duplicates at this stage.
Assign all imported customers to all employees does exactly what it says. Left on, everyone sees the whole client list. Switched off, you can assign customers individually afterwards, which suits larger crews.
Import inventory items fills the dropdown employees choose from on their timesheets. When items land short, review how they are set up in Xero. Entries positioned as stock you track rather than goods you sell are a common gap, and fixing the item setup before a retry beats assuming the integration has failed.
Require all team members to select an inventory item applies to the whole team at once. Once on, employees must pick an item each time they clock in or change customers. Teams that do unmeasured work between jobs feel that constraint immediately.
The riskiest of the four is “Archive non-matching customers in QuickBooks Time”. Ticked, it files any record without a clean Xero match into the archive instead of leaving it in place. Those records cannot be retrieved from inside the product. Restoring them requires a request to QuickBooks Time support, which is the vendor’s own desk rather than ours.
Can a botched first import be undone?
Partly. Archived customers need the vendor’s support team to come back, as noted above. Nearly everything else can be corrected without starting over.
Contacts skipped at the first pass can be added later. Under the Xero menu in QuickBooks Time, open Preferences and select Manage Xero Customers, tick the contacts you want, then choose Add Customers. A separate Import option under the same Xero menu pulls fresh data through once the lists are tidy.
If you are about to connect the two systems, we would suggest reconciling names first. Treat the archive setting as a deliberate decision rather than a default, and check the Xero item list if inventory lands short. Followed in that order, the connection settles and the two systems stop arguing about who your customers are.
