QuickBooks Desktop users who want to pull approved time entries into their company file have two possible paths, and the correct one depends on when the file was created. The accepted community answer walks through a setup that varies by company-file version, so the first step is checking what you are working with before attempting any connection.

Check the company file date first

The integration method is determined by the “Versions Used on File” entry in QuickBooks Desktop. Press F2 to open the product information window and look for that field. If the top of the list shows a date of 2020 or older, the Web Connector is the required route for syncing QuickBooks Time. Files created in 2021 or later can use the built-in integration directly. Using the wrong method for the file’s age is a common cause of connections that never fully establish.

You can only link one QuickBooks company file to one QuickBooks Time account, and the integration works in a server environment running Windows. Intuit also recommends being on the latest QuickBooks Desktop release before starting.

Prepare the company file

Before connecting anything, sign in as the primary admin and make sure QuickBooks Desktop is in single-user mode. A quick check: open the File menu. If it shows “Switch to Multi-user mode,” you are already in single-user mode and should leave it that way. Trying to integrate while in multi-user mode is a frequent source of setup failures.

The integration does not modify any information inside the company file. QuickBooks Time only exports approved time data and payroll items into QuickBooks Desktop, so the direction of the data flow is one way during the sync.

Connect QuickBooks Time to QuickBooks Desktop

With the company file open and the admin signed in, go to Employees, then Enter Time, then Activate QuickBooks Time. From there you can start a free trial, or create an Intuit account if you do not already have one. The first sync between the two products can take a while, so patience is required. Once the connection completes, the new QuickBooks Time account appears in a window inside QuickBooks Desktop. Select Set up and use the integration to continue.

Customize, sync, and edit

After the initial setup, review the integration settings in QuickBooks Time. You can choose which data syncs and how often. Approved time data moves into QuickBooks Desktop, and you can edit the data in QuickBooks after the sync. Any edits made after the sync are retained on the Desktop side.

If the connection breaks or needs a reset

Users who run into errors during the integration have a few cleanup steps from the accepted answer. In QuickBooks Desktop, go to File, then App Management, then Update Web Services to open the Web Connector. Find and remove the QB Time.qwc file there. Next, go to Edit, Preferences, Integrated Applications, and under Company Preferences locate QuickBooks Time Integration and remove it. Confirm the removal. Then sign in to QuickBooks Time, go to Feature Add-ons, select Manage Add-ons, find QuickBooks Desktop Integration, and uninstall it.

One additional tip from the community answer: rename the QuickBooks Desktop company file before a fresh attempt, even something as simple as adding a “1” to the end of the file name, to avoid errors during the integration process. After the connection is stable, the rename can be undone.
