Connecting QuickBooks Time to QuickBooks Desktop: the setup the sync depends on
QuickBooks Time links to QuickBooks Desktop on Windows only, and the sync needs company file preferences and worker records set before it will run.
QuickBooks Desktop teams that connect QuickBooks Time through Web Connector keep hitting the same wall. The integration works, but only after the company file is prepared in a specific order. Skip one preference or one worker record and the sync stalls quietly, with approved hours that never reach a paycheck.
Where can the sync run?
Four limits shape the setup. The integration supports QuickBooks Desktop on Windows; it does not support QuickBooks Desktop for Mac. One QuickBooks Time account links to exactly one company file. The connection also lives on a single computer, and the sync runs only from that machine. Open the company file you intend to link, sign in as the admin, and switch to single-user mode before you go further.
Prepare the company file before you connect
Time tracking has to be switched on first. Under Edit, choose Preferences, then Time and Expenses, and open the Company Preferences tab. Set the option that asks whether you track time to Yes.
Payroll needs the same treatment. In Preferences, select Payroll & Employees, open Company Preferences, and choose Full payroll.
Then settle the first day of the work week, because both products must agree on when a week begins. In Desktop, that setting sits under Time and Expenses, Company Preferences, as the First Day of Work Week. In QuickBooks Time, look under Company Settings, then Payroll & Overtime, for the Week Start. Match the two exactly and save.
Add every worker before the first sync
Every employee and vendor whose hours need to export, administrators included, must already exist in QuickBooks Desktop. The export maps to records that are already there, so add anyone who is missing.
For each employee, open the Employee Center, select the person, choose Edit, and open the Payroll Info tab. Tick the checkbox for using time data to create paychecks, then assign at least one payroll item. An employee with no payroll item is not ready for time export.
You can apply that checkbox company-wide. In the same Payroll & Employees preferences, open Employee Defaults, enable the same time data option, and confirm.
Vendors who track time need a first and last name on their record. Open the Vendor Center, edit each one, and fill in both name fields.
What moves and what stays put?
Two boundaries are worth knowing up front. The integration changes nothing in your company file while it is being connected, and the only data it ever exports is approved time. Pay rates stay behind as well; only payroll items come across, not the amounts attached to them.
Install the integration add-on
Sign in to QuickBooks Time as an admin. Open Feature Add-ons, then Manage Add-ons, and choose Install beside QuickBooks Desktop Integration. A preferences window appears with selections you can change later.
One option covers people you added in QuickBooks Time before connecting. Those team members will not link to your Desktop records, so the window offers to archive them during the first sync.
Another shares your active customers and their jobs into QuickBooks Time, where workers can then track time against them. You can assign these to everyone at once or hand them out individually after the import. Where available, a customer’s address also comes across for location tracking. A separate toggle covers service items and whether they become available for time entry.
Run the sync
Saving those preferences is what creates the connection. QuickBooks Time then offers a small connector file for download. Open it on the syncing computer, with the company file open and an admin signed in. QuickBooks Desktop will ask you to grant the application access, and you confirm it.
The integration now appears inside the Web Connector window. Select it there and choose Update Selected to push the first sync through. You can leave the Web Connector to run on its own schedule, or trigger it by hand before each payroll. Either way, the one-machine rule holds: the sync runs only where it was set up.
Sync refuses to start?
Retrace the prerequisites from the top. Confirm you are on the right computer, in single-user mode, signed in as admin. Check that time tracking and full payroll are on, that the week starts match, and that every worker exists in Desktop with the paycheck checkbox and a payroll item in place. The order is the whole trick: prepare the file, add the people, connect, then sync.
