Connecting QuickBooks Online Bureau Payroll to other accounting software

Payroll bureaus running QuickBooks Online Bureau Payroll keep meeting the same obstacle: the client whose books sit outside QuickBooks. The accepted answer to that question, written by Intuit’s payroll team, settles the point. The product can post payroll journals straight into most major accounts packages, under one firm rule: one active connection of each kind at a time.

The setup behind the question

Bureau Payroll is the practice-level side of QuickBooks Online Payroll. One login covers pay runs for many client companies. The client, not the bureau, normally picks the bookkeeping software. That split is where the trouble starts. The software is usually in place before the bureau arrives, which rules out moving the client as an easy answer.

Payroll totals still have to reach the ledger whoever keeps it. Wages, employer costs, and amounts owed to the tax authority all need a journal entry. Without a direct link, someone re-keys those figures by hand every pay period. The recurring question is whether the product can post them itself. It can.

The one-connection rule

The guidance leads with the limit worth knowing first. You can run one accounting integration, one payments integration, and one timesheet integration side by side. You cannot run two of the same type.

That restriction shapes day-to-day practice more than anything else in the answer. Moving a client between accounts packages means parting with the old link before the new one goes live. The integrations screen softens the bookkeeping: it filters by type and shows how many links are enabled, so nothing hides from view. Payments and timesheet links are made the same way, through the same screen.

Making the connection

The route in is the same whichever package you target. Inside the client payroll company, select the gear icon and open Payroll settings. Choose Integrations, pick the accounts package from the dropdown, then select Add and Connect.

The handover then happens on the provider’s own site. You select the organisation and approve data sharing with Bureau Payroll. Nine destinations appear in the answer:

  • QuickBooks Online
  • Xero, which asks for at least the Standard Payroll plan and admin access
  • FreshBooks
  • Zoho Books
  • FreeAgent
  • Microsoft Dynamics 365 Business Central
  • Oracle NetSuite and NetSuite OneWorld
  • Access Financials
  • QuickFile

Each provider sets its own requirements for the authorisation step, so expect small differences from one package to the next.

Mapping accounts on the QuickBooks route

A client whose books are in QuickBooks Online needs one extra step. Return to Payroll Settings and choose Chart of Accounts. Select Import Accounts and tick the ledger accounts payroll should touch. Then map the payroll nominal accounts against them.

Done in that order, the setup leaves every finalised pay run holding a journal that is ready to move. The guidance places mapping before the first export, and we would follow that sequence rather than untangle it later.

Sending the journal across

Export happens at the moment of finalising. Open the Pay Runs menu and select the pay run you want to close, or create a new one. Select Finalise Pay Run. A dialog appears; check that the option to export the journal is ticked, using the pencil icon if it is not. Choose to export right away, then finalise from the pay run screen. The journal crosses on its own. The dialog is where that choice lives, so it deserves a glance before you confirm.

A manual export route is also documented, for anyone who would rather carry the file across by hand.

Checks before you connect

Three things decide whether the link behaves. Permissions come first, because authorisation happens on the provider’s site: the person connecting needs the right standing there, not just in QuickBooks. Plan level comes second, with the Xero route asking for at least Standard Payroll. Timing comes third; map the accounts before the first finalised pay run so the journal has somewhere to land.

None of this needs specialist help. It is settings work, done once per client, and the one-connection rule is the only design limit worth planning around.
