Connecting eBay to QuickBooks Online Through the eBay Connector by Intuit

The eBay Connector by Intuit links eBay sales, products, and stock levels to QuickBooks Online; here is the setup sequence and the settings that matter.

COMMUNITY ISSUESQUICKBOOKY

Sellers who list on eBay and keep their books in QuickBooks Online have one established route for joining the two: the eBay Connector by Intuit. The app installs from inside QuickBooks Online, but the setup itself finishes somewhere else, in a configuration console called QuickBooks Connector, built by OneSaas. That split is the first thing worth knowing, and it is where most of the confusion around this integration starts.

Two Tools With Similar Names

eBay Connector by Intuit is the listing you will find under My integrations in QuickBooks Online. QuickBooks Connector is the separate console, powered by OneSaas, where the connection is authorized and the workflows are defined. Install the first, configure the second. Sellers who stop after installing the app often walk away with an integration that does nothing, because QuickBooks Online itself offers no place to set sync rules for eBay.

Linking the Accounts

The connection stage is short and mechanical.

  1. Sign in to QuickBooks Online.
  2. Open My integrations and locate eBay Connector by Intuit.
  3. Select Get app now, then install the app.
  4. Select Connect.
  5. The browser lands on the Connections tab inside QuickBooks Connector. Select Connect to eBay.
  6. Enter your eBay credentials and sign in.

That last step authorizes the eBay account against your QuickBooks Connector file. Two paths open at this point. Add Connection links another eBay account to the same setup. Otherwise, continue straight into configuration.

Settings That Come First

Before any workflow can be touched, the connector asks for three synchronization basics: the account timezone, the integration starting date, and how sync reports should be emailed. The timezone and starting date determine how the connector reads order timing and where the history begins, so these are not fields to click through blindly.

The setup also assumes a measure of accounting knowledge. The choices that follow shape how transactions land in the books, and they need to match the way your records are actually kept.

Choosing the Workflows

Every workflow on offer is optional, and sellers pick only what fits. Three are available.

  • Sales from eBay flow into QuickBooks Online, created either as a sales invoice or as a sales receipt.
  • Products listed on eBay can be created as items in QuickBooks Online.
  • Inventory level changes made in QuickBooks Online can be pushed out to eBay.

Notice the direction on that last one. Stock counts travel from QuickBooks to eBay, not the reverse. Sellers expecting eBay to correct the books will wait a long time.

Invoice or Receipt?

For sales, the connector retrieves only the orders your filters admit, and order status drives those filters. The invoice-versus-receipt choice matters at posting time. A sales invoice opens a receivable; a sales receipt records payment on the spot.

Prefixes, Tax, and Tracking

An order number prefix keeps connector records distinct. Add EB as your prefix, and eBay order 1234 arrives in QuickBooks Online as EB1234. A tax setting determines which tax code applies to sales sent across. Two further options, assigning sales to a class or to a location, are specific to QuickBooks Online and only appear if classes or locations are already switched on in your company file.

Where Setups Stall

Two friction points are worth flagging before you begin. The first is looking for configuration in the wrong place. The app listing gets you connected, but every meaningful switch lives in the QuickBooks Connector console, and no amount of clicking around QuickBooks Online will reveal it. The second is sync direction. Sales and products move from eBay toward QuickBooks, while inventory counts move the other way. Plan the bookkeeping around both flows rather than expecting a two-way street across the board.

Once It Is Running

With credentials authorized and workflows chosen, the connector handles the routine movement of orders, items, and stock levels without daily attention. The install itself takes little effort. The part that deserves your time is the configuration, because that is where the accounting decisions actually get made.
