Connecting an Existing QuickBooks Payments Account to a New Product

QuickBooks Payments accounts are tied to one product at sign-up. Here is how to manually link that account when moving to QuickBooks Online, Desktop, or Mac.

Connecting an Existing QuickBooks Payments Account to a New Product

QuickBooks Payments accounts do not automatically follow you when you start working in a different QuickBooks product. When you originally sign up for Payments from inside a specific version of QuickBooks, the two are linked together. If you later switch to another QuickBooks product and need to process payments from there, you have to manually connect the existing Payments account to the new product.

QuickBooks Online

To connect an existing Payments account to QuickBooks Online, start by signing in to your QuickBooks Online company as an administrator. Open the Settings gear icon in the upper right corner and select Account and settings. From the left-hand navigation menu, choose Payments. If you already have a Payments account, look for the option to connect or sign in to an existing account rather than starting a new application. You will be prompted to enter the user credentials associated with your original Payments account. Once you authenticate successfully, QuickBooks Online will link the Payments account to your current company file, enabling payment processing directly within the application. QuickBooks Desktop

Connecting an existing Payments account to QuickBooks Desktop requires navigating the in-product sign-in flow. Open your QuickBooks Desktop company file. From the top menu bar, navigate to Customers, then select Credit Card Processing. Depending on your version, you may also access this through a dedicated Payments or Merchant Services tab on the home screen. Look for the option to sign in or connect an existing account. You will need the primary administrator user ID and password for the Payments account. Enter those credentials when prompted to authorize the connection. QuickBooks Desktop will verify the account and bind it to the open company file, which allows you to run sales transactions directly through the desktop environment.

QuickBooks for Mac

The process for QuickBooks for Mac mirrors the Desktop workflow but uses the Mac-specific navigation. Open your company file in QuickBooks for Mac. Click on Customers in the top menu bar and select Add Credit Card Processing. If you already have an active Payments account, choose the option to sign in rather than setting up a new one. Provide your existing Payments account login credentials. The application will authenticate the details and connect the Payments service to your Mac company file, allowing you to accept customer payments.

Connecting QuickBooks Online to Square

Some users need to bring Square transaction data into QuickBooks Online rather than linking a native Payments account. QuickBooks Online supports a direct integration with Square through the Apps menu. From the main dashboard, navigate to the Apps section and search for the Square integration. Select Get app now and follow the prompts to authorize the connection between your Square account and QuickBooks Online. You will need to sign in to your Square account to grant the necessary permissions. Once linked, you can configure the sync settings to determine how and when Square sales, fees, and payouts are imported into your books.

What to Keep in Mind

The Payments account is a separate service from the QuickBooks accounting software itself. Because the initial signup binds the account to a specific product environment, moving to a new product requires re-establishing that link. You are not creating a second Payments account; you are simply telling the new QuickBooks product to recognize and use the existing one. Always ensure you have administrative access to both the QuickBooks company file and the Payments account before starting, as the connection process requires elevated permissions to authorize the binding. If you are migrating company data between entirely different versions or editions, such as moving from Desktop to Online, converting the company file may also be necessary to ensure your financial data and payment processing history remain intact.
