Sellers who run an Amazon storefront alongside QuickBooks Online keep asking one question in community threads: how do marketplace orders reach the books without retyping? The accepted solution here is Intuit’s own setup guidance for a first-party app, Amazon Connector by QuickBooks. It replaces manual imports with an automated sync between Seller Central and the books.
The problem the connector solves
A payout from Amazon lands as a single deposit. The orders, fees, and refunds behind it stay invisible in a plain bank feed, and that gap is what sends sellers hunting for a direct link. The connector imports Amazon transactions with their detail attached, so sales and expenses reconcile against real records rather than a bare payout line.
Prerequisites before you start
Three things must be in place first. You need an active QuickBooks Online account. You need your Amazon Seller Central sign-in details. And your Seller Central user needs permission to install third-party apps, because the connector installs on the Amazon side as well. Without that permission the flow stalls at the login step.
How do you connect the app?
The setup runs from inside QuickBooks Online, with one detour through Amazon’s own login. The sequence, as Intuit documents it:
- Sign in to QuickBooks Online and open Integrations, then Explore integrations.
- Search for Amazon Seller Connector by QuickBooks and choose Get app now or Get integration now, whichever button your account shows.
- Pick your Amazon marketplace from the dropdown, then select Connect and Continue.
- Enter your Seller Central username and password at Amazon and log in.
- Back in QuickBooks, work through the Review your app settings page and select Approve to authorise data sharing.
- Choose the date imports should start from, select Done, then Sync now.
- Finish at Integration Transactions, where the imported data will collect.
Note that marketplace dropdown. A seller active in more than one region must pick the store they want synced, since the connector reads only the marketplace you name.
Settings that shape your books
The review page holds the controls that decide how tidy the results are, and it rewards a slow pass.
Transaction sync date sets how far back the app pulls, up to twelve months. If you already entered that period by hand, imported items can be excluded or undone so nothing posts twice.
Add transactions automatically lets QuickBooks post high-confidence items on its own. Those land in the Categorised tab under integration transactions, ready for review rather than waiting in a queue.
Product tracking, when switched on, tries to match each Amazon product to an item already in your books. Close matches wait in the For Review tab with a suggestion attached, and items with no match are never added silently. With tracking off, every sale posts to a default Amazon sales item, which you can change later in settings.
Deposit account is the bank account where Amazon payouts arrive. Payment account covers Amazon-side charges and is typically a credit card account. Both remain editable after setup.
How long does the first import take?
Plan for a wait. Intuit puts the initial pull between ten minutes and three hours, and large volumes arrive in batches toward the long end. Nothing is broken just because the queue looks empty an hour in. Let the batches finish before judging the connection.
What should you watch for afterward?
A few slips cause most of the follow-up frustration. Pick the wrong marketplace and the connector will happily sync the wrong store, which is worse than an outright failure. Import over a period you already entered by hand and you double it, so use the exclude and undo controls early rather than after the books close. Leave product tracking off and every order funnels through one default item, which flattens reporting even though the totals stay right.
Once approved and synced, the connector keeps importing from the date range you set. For sellers weighing it against manual entry, the settings page is where the value is won or lost, and it deserves more attention than the connect button itself.
