Commission Pay in QuickBooks Desktop: Users Follow the Wrong Menus

Desktop payroll users keep landing on Workforce menus when they set up commission pay; the fix starts in the Payroll Item List.

COMMUNITY ISSUESQUICKBOOKY

Commission pay keeps tripping up QuickBooks Desktop payroll users, and the software is rarely at fault. The instructions most people find first belong to Intuit’s online workforce product. Desktop owners then hunt for menus that do not exist on their screens. The working fix, the one community threads land on again and again, starts in the Payroll Item List.

Steps written for a different product

Much of the circulating guidance begins with an All apps menu, a Team section, an Employees list, and a profile page labeled Job & pay. It then describes a run payroll choice called Commission only, with supplemental tax rates as an option. Every one of those screens belongs to QuickBooks Workforce, the browser and mobile side of Intuit payroll. Desktop has no All apps menu and no Team section, so the steps dead-end immediately.

The symptom pattern is predictable, and we see it reported the same way each time. A user says Commission only is missing, or that a Job & pay page cannot be found anywhere. Employees look fine, paychecks run fine, and commission seems impossible to add. Nothing is broken. The map was simply drawn for another product.

Can commission be someone’s entire wage?

Yes. Desktop treats commission as a wage type in its own right, not a workaround. You can make it the only earnings item for a pure sales role. You can also pair it with salary or hourly pay for a blended arrangement.

One caution first: commission-only pay still sits under federal and state wage rules, and overtime treatment varies by state. Have an accounting professional you trust confirm the arrangement before the first check runs.

Create the commission payroll item

The setup has two halves, and the order matters. The item comes first, because the employee profile can only list items that already exist.

Open the Lists menu and choose Payroll Item List. From the Payroll Item dropdown, choose New. Pick Custom Setup and move through the wizard with Next. Select Wage as the item type, then Commission as the wage category. Name the item so it reads clearly on pay stubs. Choose the expense account that should absorb commission cost, then select Finish.

Attach the item to the employee

Open the Employees menu and choose Employee Center. Double-click the name of the person who earns commission. Switch to the Payroll Info tab. In the Earnings area, add the commission item you just built, then save with OK.

Skip the first half and this is where you stall. The Earnings list offers only existing payroll items, and an empty list leaves you nothing to add. Users who edit the employee first often assume their payroll license lacks the feature; it does not. The item simply has to exist before the profile can reference it.

Pay the commission

On payday, build paychecks the way you always do. The commission item now sits among the employee’s earnings rows. Type the amount for the period and let the payroll calculation run. Withholding follows the employee’s existing tax setup.

The dedicated Commission only run option described in online guidance is a Workforce feature. In Desktop, the commission simply rides the check you are already building. Users expecting a separate commission run sometimes mistake this absence for a defect. It is a difference between products, not a fault in yours.

Tracking the cost

The expense account you chose during setup is where each commission posts. A dedicated account gives commissions their own line on the profit and loss statement, which keeps the cost of sales incentives easy to read. A general wage account is simpler but blurs that picture. The item list lets you revisit the choice later if your reporting needs change.

The takeaway for Desktop users is short. Build the payroll item, attach it to the person, then enter amounts on the paycheck itself. When a guide opens with All apps and Team, it was written for the online product. Following it inside Desktop will only cost you an afternoon.
