Changing Your Business Name, Contact Info, or EIN in QuickBooks Online
QuickBooks Online users updating business details hit roadblocks when company name, legal name, or EIN fields lock — here is what resolves it.
QuickBooks Online users who need to update a business name, contact information, or Employer Identification Number can make most of those changes directly through the account settings — but several fields have a catch that stops the edit cold, and a handful of downstream updates do not happen automatically.
Where to Make the Changes
The primary edit path lives under the gear icon. Select Settings, then Account and settings, and open the Company tab. Each section on that page has an edit pencil. Update the relevant fields — business name, legal name, address, phone, email, or EIN — then save and close out of the screen.
The information stored here serves two purposes. It is the detail customers see on sales forms and invoices, and it is also the identifying information QuickBooks holds on file internally. Keeping it current matters beyond cosmetics: features throughout the product pull from these fields, and stale data can surface on customer-facing documents or cause mismatches in connected services.
When the Edit Button Stops Working
A number of users discover that the company name, legal name, or EIN field is locked and cannot be edited from the Company tab. In some cases the attempt produces Error -7000. The accepted resolution is to update the business information inside the linked payments and payroll accounts first. Those connected services maintain their own copies of the company identity, and when they hold a conflicting or outdated record, the main settings panel refuses the change. Once the payments and payroll profiles reflect the new information, the Company tab fields become editable again.
When You Should Not Change — But Start Fresh Instead
There is a scenario where editing the existing business information is the wrong move. If the change involves a different EIN — a new legal entity, a restructuring, or a switch from one tax identification number to another — the better course is to create a separate QuickBooks company entirely. Editing the EIN on an existing file blurs the line between two distinct tax identities and complicates recordkeeping. A fresh company keeps the books clean for each entity.
What QuickBooks Does Not Update for You
After a successful business-name or contact-info change, QuickBooks does not propagate that update everywhere automatically. Users need to manually review and update several areas:
Sales Form Messages
The default message printed or emailed on sales forms — invoices, estimates, sales receipts — does not dynamically pull the current company name. It stores whatever text was entered at setup. After renaming the business, users should open the sales-form settings and rewrite the default message so it references the new name. Otherwise customer-facing documents continue to display the old one.
Multi-Location Company Information
Businesses that operate more than one location maintain separate contact details for each. A change to the primary company identity does not cascade down to location-specific records. Each location entry needs to be opened and updated individually.
Connected Accounts and Services
Because payments and payroll profiles hold their own copies of the business identity — as the Error -7000 situation above makes clear — users should verify that those services reflect the updated information even after the main settings change goes through.
A Practical Note on Timing
Changes to legally significant fields such as the EIN or legal business name have implications beyond the software. The details QuickBooks stores should match what tax authorities have on record. If the business has recently filed under the old name or number, or if changes are pending with the relevant tax agency, users should coordinate the QuickBooks update so it aligns with the effective date of the official change — rather than editing the fields the moment the decision is made internally.
