We break down what it does, where to find it, and how it fits into a typical tax-preparation workflow.

What problem does it solve?

During tax season, one of the most time-consuming tasks is reconciling a client’s profit and loss statement and balance sheet to arrive at taxable income. Accountants typically need to make adjusting entries, store supporting workpapers, and then transfer the final numbers into a tax-return platform. Without a dedicated workspace, this process often involves toggling between screens, exporting spreadsheets, and manually rekeying figures into tax software. The result is a fragmented workflow where version control becomes difficult and errors creep in.

Prep for Taxes addresses this by giving firms a single area inside QuickBooks Online Accountant where they can review balances, make adjustments, attach workpapers, and collaborate with team members. When the review is complete, the adjusted tax-line amounts can be sent directly to Intuit ProConnect Tax Online, eliminating the need to reenter data by hand.

What can it do?

The feature functions as both a review dashboard and a document depository. From one screen, you can examine a client’s balance sheet and profit and loss statement side by side. You can expand each account group to see individual balances, then create adjusting entries without changing the underlying reporting basis of the client’s company file. This means you can switch between cash basis and accrual basis views for review purposes while leaving the client’s actual accounting method settings untouched.

The collaboration layer matters for firms with multiple staff members. Team members can view and approve adjustments, attach workpapers to specific accounts, and leave notes about tax-related decisions. The Grouping and Statements dashboard lets you customize account groupings to match the way each individual client’s return needs to be structured, rather than forcing every client into the same template.

Where do you find it?

Prep for Taxes lives inside the QuickBooks Online Accountant client dashboard. You can also access it from the accountant toolbox at the top of the screen when you are working inside a client’s books. No separate installation or add-on subscription is required beyond the standard accountant-level access.

How does a typical workflow play out?

Consider a common scenario. A client runs a small consulting business and keeps their books on a cash basis. For tax purposes, you need to account for a few outstanding invoices and prepaid expenses that do not appear in the cash-basis reports. Instead of creating journal entries that would alter the client’s live books, you open Prep for Taxes, select the tax year, and choose the cash basis for review.

From the Review & adjust tab, you expand the accounts receivable and prepaid expense sections. You create adjusting entries directly within the tool to reflect the accrual-basis figures needed for the return. A team member reviews the adjustments, attaches a scanned copy of the supporting invoice as a workpaper, and leaves a note explaining the rationale. Once everything is approved, you export the adjusted tax-line amounts straight into ProConnect Tax Online, where the return is already populated with the corrected figures.

This workflow keeps the client’s books intact while giving the firm a clear audit trail of every adjustment made during the review.

What should you keep in mind?

Prep for Taxes is designed for the review-and-adjust phase of tax preparation, not for ongoing bookkeeping. It does not replace the need for a thorough understanding of tax law or entity-specific reporting requirements. The tool also depends on the client’s books being reasonably up to date before the review begins. If the underlying data is incomplete or contains unreconciled transactions, the adjustments you make may not reflect the true taxable position.

For firms that already use ProConnect Tax Online, the direct export saves a measurable amount of data-entry time. For those using other tax platforms, the review and workpaper features still apply, but the final export step will not be available. Knowing where the tool fits in your process helps you decide whether it addresses the specific bottlenecks your firm faces during tax season.
