Automating Employee Standard Hours in QuickBooks Online Advanced Payroll

Users topping up or capping employee hours by hand each pay run can automate the job with pay condition rules and tags in QuickBooks Advanced Payroll.

COMMUNITY ISSUESQUICKBOOKY

Community threads from Australian employers describe a familiar chore: an employee works 34 of a 38-hour week, and someone fixes the timesheet by hand before the pay run. The resolution that closes those threads is a pay condition rule in QuickBooks Online Advanced Payroll. Built once, it tops up short weeks automatically. A matching rule can hold long weeks to standard hours. The manual edit then disappears from every pay run after that.

Requirements before you start

Rule sets and tags exist only in QuickBooks Online Advanced Payroll. On lower payroll tiers the settings will not appear, and hours will keep needing manual corrections. Two decisions shape the setup. First, decide whether every employee gets the rule or only a named group; tags handle the group case. Second, decide whether the new rule joins an existing rule set or stands alone, since existing rules must stay linked to keep working.

Tag the employees who need a top-up

When only some staff need their hours topped up, a tag stops the rule from touching everyone else. Open All apps, select Payroll, then Employees, and choose Payroll Settings. Under Pay Conditions, open Tags and select Add. Name the tag, TOPUP for instance, then select the tick icon to save it. A panel then lists your employees; tick each person the top-up should cover. The tag is now available inside a rule.

Open the rule set that fits

Rules live inside rule sets. If your employees already belong to one, add the new rule there so the older rules keep running beside it. From the Employees screen, select Payroll Settings again, then Rule Sets under Pay Conditions. Choose the existing set, or select Add to create a standalone one. Employees attached to an award need one extra step: pick the award from the dropdown before the set opens. Then select Create Rules on the right of the screen.

Build the top-up rule

  1. Select Add a rule and name it; Top up of standard hours works.
  2. Under WHEN, choose Time worked, then set the period to in a week.
  3. Set the comparison to less than your standard figure, 38 for a 38-hour week.
  4. If you use a tag, select the cog icon, choose Add Where, and point the condition at TOPUP.
  5. Under THEN, pay the shortfall at the employee’s base rate.
  6. Save the rule and check its place in the set before closing.

How does the rule calculate the shortfall?

The rule does not estimate. The WHEN line compares hours actually worked in the week against the standard figure you set. The THEN line pays the gap between the two at the base rate, as extra hours on the pay run. An employee with 38 standard hours who clocks 34 receives four top-up hours. An employee who works the full 38 receives nothing, because the trigger reads less than, not equal to. That is the whole formula: standard figure minus time worked, applied only when the week falls short.

Hold long weeks to standard hours

The second scenario mirrors the first. Where an employee works more than usual and must stay at standard hours, build the rule the same way but flip the comparison to more than. The standard figure becomes a ceiling rather than a floor. Tag it separately if only some staff need the cap, and keep it in the same rule set so both behaviors travel together.

Order the rules before the first pay run

Rule sets process from top to bottom, so the rule at the bottom runs last. Where two rules touch the same hours, the later one wins. The working guidance is simple: whatever pays the employee more belongs at the bottom. Put a top-up rule below any rule that reduces pay, so the added hours land after the reductions. Check the first live pay run closely before you trust the order.

The payoff at each pay run

Once the rules sit in place, the weekly timesheet edit goes away. Short weeks pay to standard without a manual line, and long weeks hold at the cap. The tag keeps both rules away from anyone they should not touch. The setup is one pass through Payroll Settings. The saving repeats at every pay run after that.
