Arizona employers who file Form UC-018 — the quarterly Unemployment Tax and Wage Report — through QuickBooks generally find that the software handles the bulk of the data entry automatically. The form, filed with the Arizona Department of Economic Security, covers wage and tax information for every employee who worked during the quarter. What trips users up is understanding which fields QuickBooks populates on its own and which ones still require manual attention.
What QuickBooks Fills In
When you open the UC-018 form window, QuickBooks draws on your existing company, payroll, and employee records to prefill most of the amounts. In a well-maintained file where all payroll data has been entered correctly throughout the quarter, there is typically little or no additional input required. Penalty (Line 6) applies when the report itself is submitted after the due date printed at the upper right of the form. The penalty is calculated as 0.10 percent of the amount on line 1, with a floor of $35 and a ceiling of $200.
Surcharge (Line 7) relates to the Job Training Tax, which is only relevant for returns filed prior to 2016. For current filings, this line is generally not applicable.
Total Payment Due (Line 8) is the sum of lines 4 through 7. The Amount Paid field is typically the difference between that total and any credit balance you may have.
The $10 Threshold
One detail worth noting: if the combined amount of unemployment and Job Training Taxes due for the quarter is less than $10, payment of the taxes themselves is not required. This threshold does not apply to any penalty or interest that may also be owed — those amounts are still due regardless of how small the underlying tax liability is.
