Adding Users to QuickBooks Payments Across Platforms
QuickBooks Payments requires inviting users through platform-specific workflows, with role permissions varying depending on whether you use Online, Desktop, or GoPayment.

QuickBooks Payments does not automatically inherit every user from your QuickBooks company file. Merchants who need additional staff to process transactions must invite those users separately and assign them a payments-specific role — and the exact steps depend on which QuickBooks product you are running.
Where You Add Payments Users Depends on the Product
The core confusion users run into is that there is no single, universal screen for adding payments users. QuickBooks Online, the QuickBooks Online mobile app, GoPayment, QuickBooks Desktop, and the Merchant Service Center each have their own entry point. A user invited through one interface may not appear in another, and permissions set in one place do not necessarily carry across.
QuickBooks Online
From the main dashboard, open the menu and navigate to User Management, then select the option to invite a new user. Enter the person’s name and email address, then choose a payments role. The two payments-specific roles are typically labeled Take Payments Only and Take Payments Only (Restricted). The restricted variant limits the user further — generally to transactions they create rather than the full transaction history. After selecting the role, send the invitation.
The invitee receives an email prompting them to sign in with an existing Intuit account or create one. They will not appear on your user list until they accept.
QuickBooks Online Mobile App and GoPayment
The mobile path is similar but the screens differ. Open the menu, go to Settings, and find Manage Users. If this is your first invited user, select the invite option; for additional users, use the plus icon. You will then select a mobile payments role — the same Take Payments Only designation applies. The app may offer a informational link explaining what each role can and cannot do.
For GoPayment specifically, after navigating to Manage Users and selecting Add User, you choose the Take Payments Only role and then specify transaction visibility: either All Transactions or Transactions They Create. Save when finished.
Merchant Service Center and Account Center
Users who manage payments through the Merchant Service Center or the Intuit Account Center have a separate workflow. In the Account Center, navigate to Payments and select Add User. Enter the email, choose a role, and send.
In the Merchant Service Center itself, go to Account, then Users. Existing users appear here if they have already been set up. If the person you need is not listed, use the invite link provided on that page. Enter their email and assign a role. As with the other methods, the invited user will not show in your list until they accept the invitation and sign in.
Changing Permissions After a User Is Added
Permissions are not locked once set — but you have to know where to look. For QuickBooks Online, the mobile app, and GoPayment, role changes are made from within QuickBooks Online itself, not from the payments dashboard. For QuickBooks Desktop users, permissions are adjusted through the GoPayment app. For the Merchant Service Center, open the Account-Users page, select the role link next to the user, and choose a different role from the dropdown.
Invitation Issues
A common snag is the invited user never appearing on the list. In most cases this simply means the invitation has not been accepted yet. The invitation email can also land in a spam or junk folder, so it is worth having the recipient check there. Once the user signs in — whether with an existing Intuit account or a newly created one — they receive access to the Merchant Service Center and can begin processing payments.
Custom Roles
Users who need finer control over what staff can see and do — beyond the standard payments roles — can create custom permissions by upgrading to QuickBooks Online Advanced. That tier allows tailored access across areas like banking, sales, and payroll, rather than relying on the fixed role set available in lower tiers.
