QuickBooks Online Accountant gives firms two distinct paths for adding QuickBooks Bill Pay to a client’s subscription, and choosing the right one depends on who pays the bill and how much hands-on setup the firm wants to control.
Where to Start
There are two entry points inside QuickBooks Online Accountant. The first applies when you are creating a brand-new client record. Navigate to Your Practice, then Clients, and select Add Client. After entering the client’s basic business information, you can choose to add a subscription at the same time you create the profile.
The second path applies when the client already exists in your firm’s dashboard. Go to Settings (the gear icon), select Subscriptions and Billing, then All Clients. Locate the client, open the Client Actions menu, and choose Add QuickBooks Bill Pay.

Firm-billed subscriptions: QuickBooks sends an email to the address on file for the client’s Primary Admin user. That email contains a link the client uses to enter their business details and formally apply. You can verify which email address received the invitation by checking the Manage Users page inside the client’s company file. Once the application is approved, you receive an email prompting you to return to the subscription page, confirm your payment information, and finalize the subscription.
Client-billed subscriptions: You recommend a specific Bill Pay plan from within your Accountant dashboard and send the invitation. The client receives an email with your recommended plan and a link to subscribe directly inside their own QuickBooks Online account.
If a client’s application is denied, the subscription does not proceed. The client is notified of the denial, and the firm is not charged.
Understanding the Three Tiers
QuickBooks currently offers three Bill Pay tiers, and the differences between them matter when recommending a plan:
QuickBooks Bill Pay Basic is included with all QuickBooks Online subscriptions at no additional cost. It requires only activation — no separate application or approval is necessary. For firms or clients with straightforward payables needs, this tier may be sufficient on its own.
QuickBooks Bill Pay Premium and QuickBooks Bill Pay Elite are the paid tiers.
