Today in QuickBooks: Payroll Forms, State Filing Gaps, and Planner Projections

QuickBooks prefills dozens of federal and state payroll forms, but deposit schedules, preparer details, and 1099 data still demand manual review before filing.

Federal Payroll: Where QuickBooks Stops and You Start

QuickBooks handles the heavy lifting on federal forms, but the edges catch people. On Form 941 Page 2, the software populates employer information and most tax lines, yet deposit schedule selection and paid preparer signatures — including PTIN entry — remain manual tasks. Get the Business Name Control wrong or misidentify your deposit schedule naming convention and the e-file bounces back. The fix: cross-reference your IRS notice CP259 or the deposit schedule letter before filing, and verify the Name Control character-for-character against your prior accepted return.

Schedule A Form 940 presents a subtler trap. FUTA credit reduction calculations pull incorrect taxable wages when state-specific exemptions aren’t configured in employee setup. Users in credit-reduction states should verify each employee’s state unemployment wage base before running the schedule.

State Forms: Prefilled but Not Finished

The pattern repeats across states. QuickBooks generates the report; the gaps create compliance risk. Pennsylvania’s REV-1667 and Maryland’s MW508 both require manual 1099 withholding entry — the software doesn’t pull it automatically. Nebraska’s W-3N adds ID number formatting and incentive credit reconciliation to the checklist.

For quarterly unemployment filings, Illinois UI-3/40 and Kentucky UI-3 users must manually enter penalties, interest, and status changes. Mississippi’s Form 89-105 and Vermont’s WH-431 each have checkboxes and account-type fields that trip filers during peak season.

New hire reporting in Mississippi and West Virginia depends on correct employee setup — missing fields mean noncompliance.

Planner and Payroll Fixes
