State Quarterly Returns: What QuickBooks Fills and What It Doesn’t

QuickBooks handles the heavy lifting on quarterly unemployment and wage reports across multiple states, but the gaps are where employers stumble. The Texas C-3 quarterly return prefills most lines yet always leaves certain fields for manual entry. The Illinois UI-3/40 populates contribution data but trips filers on calculation thresholds and penalty logic. Similarly, the Kansas K-CNS 100 and North Dakota SFN 41263 both require manual review of specific lines before they’re ready for the Department of Labor. The takeaway: treat the prefill as a draft, not a finished return.

Vouchers, Reconciliations, and Annual Forms

Payment vouchers and annual reconciliations follow the same pattern. QuickBooks fills most of the Hawaii VP-1 tax payment voucher but does not support nonpayroll taxes like General Excise or Transient Accommodations. The Arkansas AR3MAR annual reconciliation and Hawaii HW-3 annual withholding form both require Tax ID and W-2 count verification. Meanwhile, the Virginia VA-5 withholding return and Idaho Form 910 voucher demand attention to penalty calculations, cycle settings, and EFT or mailing rules.

New Hire Reporting and Federal Form Nuances

Employers in Pennsylvania and the District of Columbia face tight 20-day filing windows for new hire reports, with eligibility and field-level details needing manual checks. On the federal side, Form 941 Page 2 and Form 945-A Page 2 both require careful reconciliation of deposit schedules and liability breakdowns against source data to avoid filing errors.
