QuickBooks State Payroll Forms: What Auto-Fills and What You Must Fix

QuickBooks prefills dozens of state payroll forms, but manual fields trip up filers. Here's what to check before submitting quarterly returns and new hire reports.

THE DAILY BRIEFQUICKBOOKY
  • State quarterly withholding and unemployment forms dominate this week’s coverage — QuickBooks prefills most fields, but penalty lines, account formatting, and wage totals need manual review.
  • New hire reporting for Ohio, West Virginia, and New Mexico requires verifying dates of birth, first-day-of-work fields, and optional data before state submission.
  • A hard twelve-payment limit in QuickBooks Payroll Setup catches employers off guard; we walk through how to enter additional liability payments.

Quarterly Returns: Prefilled Fields Still Need Your Eyes

QuickBooks pulls payroll data into state forms automatically, but every return we covered this week has gaps that demand manual attention. On Virginia’s Form VA-16, semi-weekly filers must double-check account-number formatting and enter penalty lines by hand. Maryland’s Form MW508 requires manual entry of W-2 counts, 1099 data, and retirement annuities. For New Jersey’s NJ-927, understanding how each line calculates matters more than trusting the prefill.

Unemployment forms follow the same pattern. Colorado’s UITR-1, North Carolina’s NCUI 101, Minnesota’s UI Wage Detail, and Iowa’s contribution report all prefill wage data but require verifying worker counts, account formatting, and rate calculations. Georgia’s DOL-4N has been particularly troublesome — users report difficulty even locating the form inside QuickBooks.

New Hire Reports and Special Cases

State new hire reports prefill core employee data but leave critical fields blank. Ohio’s report needs manual verification of birth dates and first work days. West Virginia and New Mexico employers face similar gaps plus confusion over deadlines and optional fields.

Two edge cases round out the week. Indiana’s year-end Form WH-3 tracks W-2 withholding only — W-2G and 1099 amounts need separate manual entry. And if you’ve hit the twelve-payment limit in Payroll Setup, the workaround involves entering additional liability payments through a specific menu path rather than the standard setup wizard.
